Files

The Files page is where DocuFlow keeps files you've uploaded or that others have shared with you. It is for anyone who wants to come back to a file later, hand it to someone else, or check who else can see it.

Before you start

You need to be signed in — the Files page is part of the signed-in workspace, reached from File Library in the sidebar. Its heading on screen is "File Library", with the line "Manage and access your stored operations assets."

The tabs

Files are split into tabs:

  • Mine — files you own.
  • Shared with me — files someone else shared with you.
  • Organization — files shared with everyone in your organisation.
  • Archive — administrators only. Documents kept behind when someone's account was removed from your login system, rather than deleted with it (see For administrators).

To switch views: select the tab you want. Each tab opens at the top of its folders, Library.

What you'll see when a tab is empty:

  • With a search or filter active: "No files match your filters."
  • Shared with me, nothing shared: "Nothing has been shared with you."
  • Organization, nothing shared: "Nothing is shared with the organization yet."
  • Mine, nothing uploaded: "You haven't uploaded anything yet."
  • Archive, nothing archived: "Nothing is archived. When someone's account is removed, their files show up here."
  • A folder with no files and no folders in it: "This folder is empty."

Tips

  • A row's buttons tell you your own rights on that file — no Share button means you can't share it, no Delete button means you can't delete it.
  • The link icon only shows up when a public link is both active and something you're allowed to manage — its absence doesn't always mean there's no link, just that you can't control it.
  • A public link works for anyone who has it, with no sign-in required, so only make one public when that's really what you want.
  • If you see "The file was changed by someone else; reload and try again.", someone else touched the file first — look at the row again before retrying your change.
  • Open the right folder before you upload and the files land there — no moving afterwards. You can always move a file later with Move to…, or change its tags with Edit metadata.
  • Dragging is a shortcut, not a requirement: Move to… does the same with a keyboard or on a phone.
  • The Organization tab is where to check what your whole organisation can already see, before you decide whether a file needs sharing more narrowly.
