E-mails
DocuFlow can e-mail you about three kinds of event:
- A file or a letter template was shared with you.
- Someone asked for access to your file, or answered your request; or a letter template was proposed for your workspace (administrators), approved or declined (the person who proposed it).
- A long job finished or didn't finish. Only long jobs count, and only if you haven't already seen the notification two minutes after it ended. If you were watching, you get no e-mail.
You never get more than 20 e-mails an hour. An e-mail names what happened and gives one thing to do next. For an access request it has a Share link and an Ignore link; these only open DocuFlow with the request highlighted (if you aren't signed in, sign in and you come straight back to it). Nothing is shared until you select the button yourself, so a forwarded e-mail can't hand out your files. Every e-mail ends with a link to change what you get.
Choosing what DocuFlow e-mails you
To change it:
- Select your name in the top right and choose Settings.
- Under "Notifications", switch on or off:
- E-mail me when a file or letter template is shared with me
- E-mail me about access requests and template proposals
- E-mail me when a long job finishes
- Each switch saves the moment you flip it.
What you'll see when it's done: "Saved." Below the switches, "You always see these under the bell." Turning a switch off only stops the e-mail; the notification still appears in the bell. Letter-template notifications work the same way: selecting one opens the template, or, for a proposal, Admin → Letters; a declined template opens in the builder.
If your organisation hasn't set up e-mail, the switches aren't shown and the page says "E-mail is not set up on this server." The bell works either way.
